What we liked: These productivity tools are quick to use, and changes are done in real-time–no need to save. Multiple users can work on the same document without worrying about competing modifications. 

The commenting system works flawlessly. Furthermore, the version control is excellent – you can quickly revert to previous versions.

7. Gmail

Gmail, an application that most of us are familiar with, is at the heart of Google Workspace, whether we’ve used it for a personal or professional email.

While the layout for Google Workspace’s version of Gmail is nearly identical to that of personal Gmail, it has a few extra capabilities. Apart from the ability to use an email account with your domain, these also include:

  • The ability to read and draft emails while not connected to the internet.
  • The ability to create group email addresses and enable read receipts.
  • Allowing people to access Gmail with other mail clients (e.g., Outlook)
  • Allowing users to grant others mailbox access
  • Enabling S/MIME encryption and other features

Gmail has a familiar feel to it and is simple to use. You can even access Google Meet for video calls and communicate with coworkers from within the Gmail application, demonstrating how tightly integrated Google Workspace’s products are. 

Several valuable extensions are available, such as Streak, which provides email tracking, pipeline management, and mail merge, and Checker Plus, which helps you manage many Gmail accounts.

One disadvantage is that, as a web-based application, it feels very different to users who are used to using software, such as Outlook. It can feel a little constrained.

8. Hangouts, Google Meet and Chat

While you may be familiar with Hangouts, Google’s video calling tool, Google Meet, and Chat, you may be unfamiliar because they were only released a few years ago.

But there’s no big mystery here: Meet is Google Workspace’s video conferencing tool, and Chat is Google Workspace’s corporate chat tool.

What we liked: We enjoy Meet and Chat’s integration with Gmail since it allows you to use these capabilities without having to open a separate program. 

Sharing Drive files and documents within both programs work as expected. Both tools are also quite effective.

Is Google Workspace Good For Small Businesses?

Indeed, Google Workspace is primarily intended for small organizations. Larger organizations and corporations frequently want more comprehensive services or in-house solutions that can be readily tweaked and monitored.

In the meantime, Google Workspace is streamlined and bundled for smaller firms that aren’t constructing their own solutions.

As a result, when you first sign up for Google Workspace, Google will ask you how big your company is. “Just You” is the first choice, while “2–9” individuals are the second. Don’t worry; you can always add or remove users later.

Keep in mind that your Google Workspace account is distinct from your regular Gmail or Google performance.

Managing files, email accounts, and passwords in the same browser can get a little confusing because you must be logged into Google Workspace and not your personal Google account. You also can’t add your personal Gmail address to Google Workspace, which is probably good.
